Insert Comment in Excel


In this blog post we will learn to “Insert Comment in Excel”.

To explain this topic we have prepared raw data where we are collecting information of few students. The information which we are collecting is:

1. Name of Student
2. Age
3. Gender
4. Date of Birth

But there might be chance that if we share this excel sheet and ask each student to fill up their data by their own then the completed sheet may get mess us due to non-uniformity.

This is one example how student may end up filling the data. There is no uniformity at all in this data. Some students have entered their gender with just initials while others have entered the full word. Same thing happened with DOB as the date format entered in last column of table is not uniform.


To maintain the uniformity in the database we must provide some instructions about how to fill the information in this table. For this we can insert comments for the header cells (as shown in below image) which will provide instructions about how to fill up the data in respective column.

So let us learn about inserting this comments.

02 Methods to Insert Comments:

In this blog post we will learn two methods to insert comments. Both the methods are simple and easy. You can use any of these method as per your convenience.

1st Method:

1. Select the cell for which we want to insert comment (In this case we have selected header cell “Gender”).


2. Go to “Review” tab and under “Comments” group, we have to click on “New Comment”.

3. Once we click on “New Comment” as highlighted above, we can see that new comment is now inserted for selected cell.


4. We can enter any comment as per our requirement. In this case we have entered comment as “Enter values as “M” or “F””.


2nd Method:

1. Select the cell for which we want to insert comment (In this case we have selected header cell “DOB”).


2. Now right click on this cell and click on “Insert Comment” option from the list of appeared options.


3. Once we click on “Insert Comment”, we can see that the new comment is now inserted for selected cell.

4. We can enter any comment as per our requirement. In this case we have entered comment as “Enter DOB in DD/MM/YYYY Format”.

In this way we can use any of these two methods to insert comment in excel.

Identification of Comments in Excel:

Now there might be a question in your mind that how can we identify if any cell has comment inserted for it or not? Well, we can identify the cells which have comments inserted for them by just looking at them. But how?

The cells which has comment inserted for them has a “Red Dot on Top Right Corner” of the cell.

We can see these red dots for header cells “Gender” and “DOB” as highlighted in below image.



For other two header cells “Name” and “Age”, there are no any red dots on their top right corner, it means there is no any comment inserted for these two cells.

Other Commands in Comments Group:

1. Edit Comment: This command will appear in the Ribbon only if we have selected the cell which has comment. This command can be used to edit the previously inserted comment.



2. Delete: This command will get enabled if we have selected the cell which has comment inserted in it which is used to delete the selected comment.



3. Previous: This command is used to jump to the previous comment.


4. Next
: This command is used to jump to the next comment.


5. Show/Hide Comment
: This command will get enabled only if we select the cell for which comment is inserted. It is used to show or hide the comment for selected cell.


6. Show All Comments
: To show all the comments from excel sheet, we have to just select the command “Show All Comments”. Once again click on this command to hide the all comments.


7. Show Ink
: This command can be used to show the ink. To hide the ink we have to select this command once again. (Basically ink is nothing but any annotations we use to explain something with the help of touchscreen).
